RUF Director of Operations Job Duties, Responsibilities, and Requirements

The Reagan-Udall Foundation for the FDA (RUF) is a non-profit organization that works to support the mission of the FDA by advancing regulatory science and research. RUF establishes Public-Private Partnerships between FDA and external stakeholders to facilitate innovation in science and health.

RUF is seeking a mission-driven Director of Operations with an interest in joining a small and growing team. The RUF office is a collaborative environment that requires a willingness to stretch and take on additional tasks as needed. This position would be ideal for a motivated individual interested in expanding their skills and growing their career.

Reporting to the Executive Director, the Director of Operations will perform a broad range of operational tasks and provide organizational support to ensure the smooth functioning of day-to-day operations. The Director of Operations will be responsible for accounting and budgeting functions, human resources, and facilities. The ideal candidate will be comfortable working independently with little supervision and taking initiative to complete duties and anticipate upcoming tasks. Strong inter-personal skills and an ability to prioritize and multi-task with accuracy, speed and enthusiasm are essential.

Duties and Responsibilities:

Management/Operations:

  • Create and update standard operating procedures (SOPs) for various office processes
  • Assist in the development of office policies
  • Manage procurement needs of the organization; maintain inventory and order supplies, as needed
  • Coordinate with external service providers (e.g., IT, accounting, facilities)
  • Maintain filing system and record keeping for the organization
  • Research and recommend software and IT improvements to enhance workplace productivity
  • Maintain equipment inventory
  • Coordinate and/or lead facilities operations including organizing moves, securing furnishings and any appropriate infrastructure requirements

Finance/Accounting:

  • Develop an organizational budget including monthly projections and reconciliation
  • Track and process office expenditures
  • Manage all office contracts (rent, service contracts, insurance, etc.)
  • Ensure timely processing of invoices and contracts
  • Assist with writing checks, organizing invoices, preparing reports
  • In conjunction with staff and the organizations accountant, monitor the RUF budget
  • Manage completion of annual audits
  • Work with project staff to prepare budgets for external grant and foundation support

Human Resources:

  • Assist in benefits negotiation and compliance (including compliance related audits)
  • Organize and process all necessary paperwork (tax forms, direct deposit, health and other insurance)
  • Maintain confidentiality of information at all times
  • Maintain confidential employee records and files
  • Serve as the internal point of contact for staff HR questions
  • Assist with hiring new personnel and onboarding

Performs other duties as assigned.

Qualifications:

  • Bachelor’s Degree required, Master’s Degree preferred
  • Minimum of five years of experience in administrative or executive support
  • Interest in the following is strongly desired: activities of the FDA (e.g. drug and medical product safety, food safety), public health, scientific and technical disciplines related to health, science communication and education, public-private partnerships

  • Strong skills for applying computers, reasoning analytically, managing projects, performing research, and managing records

  • Ability to keep sensitive information confidential
  • Plan and execute diverse tasks at the same time without supervision
  • Proficiency with MS Office (Word, Excel, Access, PowerPoint and Outlook) are required with an aptitude to quickly learn more advanced features, versions and other software; advanced Excel and Quickbooks skills required
  • Strong oral and written communication skills
  • Ability to work with a variety of people in a fast-paced environment such as executives, board members, government officials, and other stakeholder groups
  • Ability to solve problems, prioritize and multi-task
  • Must be reliable, creative, flexible and self-motivated
